Intelligent Data Room
An Intelligent Data Room organizes documents, records, extracted information, exceptions, review activity, and work products in one controlled environment. RY Systems configures and, where requested, operates the workspace around the outcome that must be completed.
Tell Us the Outcome You NeedFiles often sit across inboxes, shared drives, portals, folders, and disconnected systems. Before a team can complete a review, make a decision, or produce a final package, the information must be collected, organized, processed, checked, and connected to its source.
RY Systems configures the workspace, controls, integrations, and operating process required to move that information toward a defined result.
1
Collect files and information through a defined process aligned with the work that must be completed.
2
Apply OCR and other processing methods where appropriate so information can be searched and used.
3
Classify documents and extract structured information according to the requirements of the engagement.
4
Find relevant source material and review organized summaries without losing connection to the underlying information.
5
Surface incomplete requirements, conflicts, uncertain classifications, and items that need attention.
6
Maintain a clear connection between extracted information, findings, work products, and source material.
7
Define who can contribute, access, review, approve, or receive information.
8
Keep designated people responsible for analysis, judgment, validation, and approval.
9
Produce organized packages and agreed work products for the people who rely on the result.
RY Systems configures and operates the workspace, organizes information, manages exceptions, supports controlled review and sharing, and produces agreed outputs. This is the recommended default for organizations that need the capability without creating a new internal operating function.
The Intelligent Data Room is configured and operated as part of a broader RY Systems engagement to deliver a defined work product or business outcome. This is the recommended model when the completed result matters more than operating the workspace itself.
RY Systems configures the workspace, controls, and operating model. The client and its team run it after implementation. This option is best suited to organizations with the internal ownership, operating capacity, and governance needed to manage the environment.
Customer operated describes who runs the workspace. It does not automatically mean the workspace is hosted on the client's servers. Hosting, data location, access architecture, integrations, and administrative control are determined by the requirements of the engagement.
The workspace is designed around defined access, permissions, data handling, review responsibilities, traceability, retention, and escalation requirements. RY Systems uses documented security and governance policies to guide configuration and operation.
Client source files and completed workspaces remain available for 90 days after acceptance.
Reason Y provides the Intelligent Data Room platform capability. RY Systems configures, integrates, operates, and applies it as part of a coordinated solution where appropriate.
Tell RY Systems what must be completed, what done looks like, who relies on the result, and what is preventing completion. RY Systems will determine whether an Intelligent Data Room should be part of the coordinated solution.
